Protected species licences: register to apply for and manage licences online

Find out how to register to use the case work management system to apply for a protected species licence.

You can use Natural England’s Case Work Management system (CWM) for protected species licensing to:

  • submit applications
  • submit licence returns reporting action you’ve taken under your licence
  • request a licence renewal (where available)

You must complete the appropriate customer registration process before you can log into the CWM system. Register as soon as possible to avoid delays when you want to apply for a licence. You only need to register once.

Your details may already be on the CWM system if you have had a protected species licence before. You will still need to complete at least part of the registration process before you can log into the system. Contact the Natural England Wildlife Licensing Service if you are not sure which user group you belong to.

You can continue to apply by post or email if you prefer to.

Go to the CWM system

New user

Go to the CWM system and select the customer registration tab. You’ll need:

  • your email address
  • contact details (companies can also enter additional details)
  • to choose how you would like Natural England to communicate with you
  • information about you and your business
  • to set up some memorable information

When you click ‘Finish’ a confirmation screen will show your customer reference number (CRN). This will start with the letter C followed by 6 numbers. Write this number down, you’ll need it to log into the CWM system to apply for a licence.

To complete your registration the CWM system will send a confirmation email to your registered email address. Click on the link in the email and follow the on-screen instructions to set up your password. Your password must be at least 8 characters and must not contain your CRN.

You can now use your CRN and password to log into the CWM system.

Licence holder before March 2014

If you last held a licence before March 2014, your details were held on a previous licensing system. In 2014, Natural England migrated some basic details about you onto the CWM system. They sent you a letter containing the unique pass code that you need to access the system.

Contact the Natural England Wildlife Licensing Service for help if:

  • you do not remember receiving the letter
  • you’ve lost the letter

When you have your unique pass code, go to the CWM ‘migrated customers’ page and follow the on-screen instructions.

Before you can log into the system you’ll need to:

  • update your details
  • set up a CWM password
  • create some memorable information

Your password must be at least 8 characters and must not contain your CRN.

You can now use your CRN and password to log into the CWM system.

Licence holder since March 2014

If you’ve held a licence since March 2014 you are already registered on the CWM system.

You may have applied:

  • through the Government Gateway
  • by post or email

You applied through the Government Gateway

You can no longer log into the CWM system through the Government Gateway because the Government Gateway is closing. You need to log directly into the CWM system but your existing password will not work.

To access the CWM system you must request a password reset. Follow these steps:

  1. Go to the CWM system
  2. Click on the ‘Set/reset password’ button in the top right of the screen.
  3. Enter your CRN (a ‘C’ followed by 6 numbers) into the pop-up window.
  4. Click on the ‘Request password reset’ button, which will trigger an email to your registered email address.
  5. Click on the link in the email then follow the on-screen instructions to reset your password.

The password reset link in the email is only active for 60 minutes. If you take longer, you must repeat the steps to get another link. Your password must be at least 8 characters and must not contain your CRN.

Contact the Natural England Wildlife Licensing Service for help if you:

  • have forgotten which email address you registered with
  • cannot use the email address you registered with

You can now use your CRN and password to log into the CWM system. You should check your personal details and change them on the ‘My details’ tab if they are wrong or need updating.

You applied by post or email

Natural England registers postal or email applications on the CWM system. They take basic information from your application form, such as your name, address and email address (where supplied). You will not know your CRN so you should contact the Natural England Wildlife Licensing Service to:

  • get your CRN
  • register an email address if you have not supplied one with previous licence applications
  • change your registered email address if you no longer use it or can no longer access it

When you have your CRN and a registered email address you need to set up a password. Follow these steps:

  1. Go to the CWM system.
  2. Click on the ‘Set/reset password’ button in the top right of the screen.
  3. Enter your CRN (a ‘C’ followed by 6 numbers) into the pop-up window.
  4. Click on the ‘Request password reset’ button, which will trigger an email to your registered email address.
  5. Click on the link in the email then follow the on-screen instructions to set your password.

The password reset link in the email is only active for 60 minutes. If you take longer, you must repeat the steps to get another link. Your password must be at least 8 characters and must not contain your CRN.

You can now use your CRN and password to log into the CWM system. Check your personal details and change them on the ‘My details’ tab if they are wrong or need updating.

Help using the system

Natural England’s case work management system works best on:

  • Internet Explorer 9 (or later) or similar browsers
  • screens that have a resolution of at least 1280 by 768 pixels
