Protected species licences: register to apply for and manage licences online

Find out how to register to use the case work management system to apply for a protected species licence.

You can use Natural England’s case work management system for protected species licensing to:

  • submit applications
  • submit licence returns reporting action you’ve taken under your licence
  • request a licence renewal (where available)

Register to use the system

You don’t need to wait until you want to apply for a licence to register. Register as soon as possible to help avoid delays when you want to use the system. You only need to register once.

To use the system, you’ll need to:

  • register with Natural England
  • send documents to Natural England to confirm your personal information
  • sign up or log-in to the Government Gateway, which is used to provide secure access the system

New users

When registering to use the system, you’ll be asked to provide personal information. This will be used by Natural England to verify who you are so that your licence application can be processed securely online.

You’ll also be asked to provide some memorable information which is needed to access the Government Gateway and will also be used for security purposes when you phone Natural England.

Go to the case work management system new user registration page and click ‘Customer registration’.

Information you’ll be asked to provide

On the customer registration tab you’ll be asked for:

  • your email address
  • contact details (companies can also enter additional details)
  • a preference for how you would like Natural England to communicate with you
  • information about you and your business
  • memorable information

When you press ‘Finish’ you’ll see a confirmation screen which shows your customer reference number.

Users who have previously held a licence issued by Natural England

Your details will have already been entered in the system if you have been issued a protected species licence by Natural England in recent years.

You should have received a letter containing a customer reference number which you’ll need to access your details. If you don’t have this letter, contact the wildlife licensing customer services team for help.

Access the case work management system for migrated customers to:

  • check your information is correct
  • enter memorable information to allow Natural England to verify who you are

Confirm your details

Once you’ve registered, you’ll be sent a letter within 5 working days asking you to send documents to Natural England which verify who you are. This letter will explain what documents you need to send.

Only send copies of these documents as they won’t be returned to you.

You’ll receive a letter or email from Natural England when the verification process is complete.

Gain access to the case work management system

You need to login to the Government Gateway to access Natural England’s case work management system.

The Government Gateway website has information about the security of this service.

New Government Gateway users

Go to the Government Gateway.

You can choose to register as either an individual or organisation.

You’ll be asked to provide:

  • your name
  • your email address
  • a password

Once you have submitted these details, you’ll be given a user ID number. Make a note of this number for future use.

When you click ‘Continue’ you’ll be taken to a page where you can manage your services. Select: ‘Natural England Casework Management’.

After choosing this option, you’ll be asked for your customer reference number and the memorable information that you entered when you registered with Natural England.

Enter these details and click ‘Next’ to get access to the case work management system.

Click ‘Back to your services’ to complete the process.

Existing Government Gateway users

If you have previously registered to use the Government Gateway as an individual or organisation, you don’t have to do this again.

Click ‘Enter the Government Gateway’ and enter your Government Gateway user ID and password. Once you’ve logged in, you’ll see an option to add an additional service. You’ll be taken to a screen where you can manage your services.

In the list, select: ‘Natural England Casework Management’.

After choosing this option, you’ll be asked for your customer reference number and the memorable information that you entered when you registered with Natural England.

Enter these details and click ‘Next’ to get access to the case work management system.

Click ‘Back to your services’ to complete the process.

Using the case work management system

Once you have registered, you can access Natural England’s case work management system using your Government Gateway login details.

You can use the ‘Change my preferences’ and ‘Change my details’ buttons to update your personal information. You might be asked to send documents to Natural England to verify these changes.

Help using the system

Natural England’s case work management system works best on:

  • Internet Explorer 9 (or later) or similar browsers
  • screens that have a resolution of 1280 by 768 pixels
