Business Unit Policies and Assurance Checks: Appointing HMRC Business Authorising Officers to Rooms

The Shared Workspace Business Sponsor (SW Business Sponsor) has overall responsibility for ensuring that the Shared Workspace deployments for which they are accountable are managed effectively and in accordance with HMRC policy.

It is HMRC Shared Workspace policy that there must be a minimum of two HMRC Business Authorising Officers (BAOs) per Room.

The SW Business Sponsor is responsible for appointing to each Room sufficient BAO’s to ensure that the BAO’s can carry out all their responsibilities effectively and thoroughly SW04205.

When considering how many BAOs should be appointed to each Room the SW Business Sponsor should take into account the level of workflow generated by the Room.

This will depend on the

  • number of members that will access the Room
  • volume of items that will be added to the Room
  • level of complexity of the Room
  • frequency of BAO approval requests.

Note: The SW Business Sponsor must continue to monitor the level of workflow generated and appoint additional BAOs to meet increases in business usage of the Rooms.
