Submitting and issuing job interview results (vX)

How to enter interview results and issue these to candidates in vX. Guidance for recruiters and vacancy holder 2 users.

Completing the Interview Evaluation Form

After interviews have taken place, scores and outcomes are added to the system.

All scores and comments can be seen by candidates after the interview results are issued.

  1. Find the vacancy.
  2. Select the Applications tab.
  3. Select the link for ‘Interview 1 - scheduled’ status.
  4. Select candidate, then View.
  5. Select Complete Interview Evaluation and complete.
  6. Submit

Candidate status will change to ‘Interview 1 - Feedback Captured (Not Issued)’.

You can move between candidates using » or «. Select Back to List to view all candidates.

Uploading Interview Evaluation Forms in bulk

  1. From the navigation panel, select Applications then Export Recruitment Form.
  2. Complete the mandatory fields. For:
    • Form to use as template for export, select ‘Interview 1 Evaluation’.
    • Read application data from, select ‘Leave blank’.
    • How many blank rows, select your number of candidates - round up to the nearest number.
  3. Select Export Recruitment Form to download the form.
  4. Open the form and complete all relevant fields.
  5. Delete the last seven columns - these are for ID and verification documents and are not used during this upload.
  6. Save the form.
  7. From your Dashboard, select Applications, then Import Recruitment Form.
  8. Select Choose Excel File, then select your saved form.
  9. Submit.

Select View Applications imported Successfully to check the results have uploaded.

Reviewing interview results

  1. Find the vacancy.
  2. Select the Applications tab.
  3. Select the link for ‘Interview 1 - Feedback Captured (Not Issued)’ status.
  4. Select the Customise layout dropdown, then Quick Review - Interview 1 Feedback.

Issuing interview results

  1. Find the vacancy.
  2. Select the Applications tab.
  3. Select the link for ‘Interview 1- Feedback Captured (Not Issued)’ status.
  4. Choose the Selected dropdown, then Select All.
  5. From the Status dropdown, select Progress Application.
  6. Confirm.

Unsuccessful candidates will move to ‘Rejected - Interview 1’ status, and will automatically be emailed to confirm.

Candidates on ‘Hold’ will move to ‘Reserve List’ status and will automatically be emailed to confirm.

Successful candidates will move to ‘Selected for Offer’ status but will not be automatically emailed.

Emailing a successful candidate

You will need to manually send the ‘Provisional offer’ email to successful candidates:

  1. Find the vacancy.
  2. Select the Applications tab.
  3. Select the link for ‘Selected for Offer’ status.
  4. Choose the Selected dropdown then Select All.
  5. Select the Status dropdown then Progress Application.
  6. Confirm
  7. The ‘Provisional offer’ email will open.
  8. Select Send Correspondence.

Candidate status will change to ‘Provisional Offer - Online’.
