Managing candidate reserve lists (vX)

Guidance for recruiters on appointing candidates from a reserve list, and managing reserve list expiry.

Appointing candidates from a reserve list

  1. Find the vacancy.
  2. Select Applications tab.
  3. Select the link for ‘Reserve List’ status.
  4. Select Customise layout dropdown, then ‘Quick Review - Interview 1 Feedback’.
  5. Select candidate(s) to appoint from the reserve list, then select Status.
  6. From the dropdown, select Progress Application then Confirm.
  7. A ‘Provisional Offer’ email opens.
  8. Select Send Correspondence to send to the candidate.

Candidate status changes to ‘Provisional Offer - Online’.

Checking reserve list expiry

  1. Find the vacancy.
  2. Select Applications tab.
  3. Select the link for ‘Reserve List’ status.
  4. Select a candidate, then View
  5. Select History tab
  6. Open the candidate ‘Reserve list’ email to check issue dates and reserve list length.
  7. Date and length should be the same for all candidates for that vacancy.

Rejecting candidates on an expired reserve list

If the reserve list has expired, candidates can be rejected in bulk:

  1. Find the vacancy.
  2. Select Applications tab.
  3. Select the link for ‘Reserve List’ status.
  4. Choose Selected dropdown, then Select All
  5. Select Status dropdown, then Reject Application
  6. Confirm
  7. A rejection email opens.
  8. Select Send Correspondence to send this to candidates.

Candidate status changes to ‘Reject - Reserve list expired’.

Checking reserve list expiry (rolling campaigns)

A rolling campaign is advertised over a long period. Applications are sifted and candidates interviewed in tranches, over this time.

This means each candidate could have a different reserve list expiry.

  1. Find the vacancy.
  2. Select Applications tab.
  3. Select the link for ‘Reserve List’ status.
  4. Select a candidate then View
  5. Select History tab
  6. Open the ‘Reserve list’ candidate email to check issue date and reserve list length.

You can move between candidates using » or «. Select Back to List to view all candidates.

Rejecting candidates (expired rolling campaign reserve list)

  1. Find the vacancy.
  2. Select Applications tab.
  3. Select the link for ‘Reserve List’ status.
  4. Select candidate, then View
  5. Select the Reserve list expired button.
  6. A rejection email opens.
  7. Select ‘Send correspondence’ to send to candidate(s).

Candidate status changes to ‘Reject - Reserve list expired’.

You can move between candidates using » or «. Select Back to List to view all candidates.
