IPA cross-government transformation community privacy notice

1. Your data

1.1 Purpose

The Cross Government Transformation Programme supports transformation programmes through direct support and sharing of best practice, like the 7 Lenses of Transformation framework.

It also:

  • identifies and gathers insight on the major transformations across government
  • improves thinking on transformation - through deep dives and developing training materials
  • seeks to improve the enabling environment in which transformation takes place
  • facilitates networking events such as the Transforming Together series

The purpose for which we are processing your personal data is to manage the Infrastructure and Project Authority’s (IPA’s) cross-government Transformation Community.

The personal information is processed for the purpose of making contact with individuals for the following business purposes:

  • making contact with individuals to inform them, or seek their views, about departmental project delivery (sharing best practice).
  • making contact with officials in other departments or public bodies to discuss policy proposals and developments, or operational matters.

This information is processed in the context of the cross government transformation community, which brings together people from across government, as well as external experts, to share experiences and knowledge around transformation. This community is voluntary and members request to be involved and attend events.

This information is needed to coordinate this community so we can provide high quality engagement across departments and programmes.

1.2 The data

We will process the following personal data: name, address, email address, job title, phone numbers, and employer of the data subject. Where you are consulted for your views, the information may include your opinions.

The legal basis for processing your personal data is because you consent to us doing so.

1.4 Recipients

Your personal data will be shared by us with Cabinet Office officials, or officials within other public bodies, so that when support is requested, we can put those with experience in contact with that person/programme.

We will also share your data with our IT suppliers who provide events management and mailing list management services to us.

As your personal data will be stored on our IT infrastructure it will also be shared with our data processors who provide email, and document management and storage services.

1.5 Retention

Personal information is held for the purposes of contacting individuals in particular roles, and once they leave those roles the information will be updated and or deleted. This should take place at least once a year.

2. Your rights

You have the right:

  • to withdraw consent to the processing of your personal data at any time
  • to request information about how your personal data are processed, and to request a copy of that personal data
  • to request that any inaccuracies in your personal data are rectified without delay
  • to request that any incomplete personal data are completed, including by means of a supplementary statement
  • to request that your personal data are erased if there is no longer a justification for them to be processed
  • in certain circumstances (for example, where accuracy is contested), to request that the processing of your personal data is restricted
  • to object to the processing of your personal data where it is processed for direct marketing purposes
  • to request a copy of any personal data you have provided, and for this to be provided in a structured, commonly used and machine-readable format

3. International transfers

As your personal data is stored on our IT infrastructure, and shared with our data processors, it may be transferred and stored securely outside the European Union. Where that is the case it will be subject to equivalent legal protection through the use of Model Contract Clauses.

As your personal data is with our IT suppliers who provide events management and mailing list management services to us, it may be transferred and stored securely outside the European Union. Where that is the case it will be subject to equivalent legal protection through the supplier’s membership of the Privacy Shield scheme.

4. Complaints

If you consider that your personal data has been misused or mishandled, you may make a complaint to the Information Commissioner, who is an independent regulator. The Information Commissioner can be contacted at:
