Appendix 2: Membership of breast screening meetings

This appendix sets out the list of formal meetings that the director of breast screening must either attend or send an appropriate deputy to.

Additional training events or educational events are arranged on an ad-hoc basis. If the director of breast screening is unable to attend, a suitable service representative should be nominated to attend and feed back to the director.

1. Internal management meetings

Senior leadership team meetings with the lead radiographer, programme and screening office manager should be held at least monthly to discuss operational aspects of the service.

Wider meetings should be held at regular intervals with appropriate divisional managers within the host organisation as well as with spoke sites as necessary.

Contractual meetings should be held as necessary if sub-contracts are in place. Cross screening programme meetings may be arranged within the host organisation. These are useful for sharing good practice and learning from experience, particularly in relation to tackling inequalities.

2. Programme board meetings

Local commissioning teams co-ordinate programme board meetings. These meetings provide governance and oversight of a local screening service. The screening and immunisation lead will typically chair the meeting, with representation from all providers and staff groups that contribute to the breast screening service. A representative from the screening quality assurance service (SQAS) will also be present.

Typically, programme board meetings will discuss:

  • breast screening service performance against key performance indicators (KPIs)
  • incidents
  • risks
  • developments, gaps or changes to service delivery against the service specification
  • annual reports written by the provider
  • results from client or patient satisfaction surveys

Membership may include:

  • screening and immunisation lead (chair)
  • screening and immunisation team representation
  • local NHS England commissioning team
  • SQAS representative
  • local authority public health representation
  • clinical commissioning group (CCG) representative
  • GP representative
  • patient representative
  • breast screening service representation, including:
    • director of breast screening
    • programme manager
    • lead radiographer
    • screening office manager
    • other staff groups as appropriate
    • relevant representative(s) from host organisation such as divisional manager and operations manager

3. Professional network meetings with SQAS

SQAS will arrange 2 professional network meetings per year aimed specifically at directors of breast screening. Professional network meetings are held for other professional groups at varying frequencies. These are outlined in the breast screening programme specific operating model document.
