TCM1000364 - How to amend hours worked

Step 1

If you are not already on the ‘Work Details’ screen, go to Step 2.

If you are already on the ‘Work Details’ screen, go to Step 3.

Step 2

On the ‘Function Menu’

  • select ‘Application’ on the toolbar
  • select ‘Change of Circumstances’ from the options available. You’ll be taken to the ‘Key Entry Data’ screen
  • enter the customers NINO
  • select the relevant checkbox
  • select ‘OK’. You’ll be taken to the ‘Applicant Details’ screen.

If you are taken to the ‘Select Household’ screen

  • select the relevant claim
  • select ‘OK’. You’ll be taken to the ‘Applicant Details’ screen
  • select ‘Wk1’ or ‘Wk2’ as appropriate. You’ll be taken to the relevant ‘Work Details’ screen
  • go to Step 3.

If you are taken to the ‘Select Application’ screen

  • select the relevant claim
  • select ‘OK’. You’ll be taken to the ‘Applicant Details’ screen
  • select ‘Wk1’ or ‘Wk2’ as appropriate. You’ll be taken to the relevant ‘Work Details’ screen
  • go to Step 3.

If you are taken straight to the ‘Applicant Details’ screen

  • select ‘Wk1’ or ‘Wk2’ as appropriate. You’ll be taken to the relevant ‘Work Details’ screen
  • go to Step 3.

Step 3

Check, from the information already provided, the date the change in hours occurred.

Note: From 6 April 2012, if a customer tells us within a month about a change of circumstances that increases the maximum rate of tax credits they are entitled to, their award can be amended from the date of the change. For changes notified after one month their award can only be amended one month prior to the date the change was notified.

Note: If a change is notified that does not alter or decrease the maximum rate of tax credits the claimant is entitled to, it will be applied from the date of the change.

If the change occurred more than one month before today’s processing date because the customer failed to notify you within one month, go to Step 4.

If the change occurred more than one month before today’s processing date because you haven’t yet applied the change (customer originally notified us within one month), go to Step 6.

If the change occurred within one month, go to Step 9.

If the customer is entitled to a four-week run-on, go to Step 6.

If the customer isn’t entitled to a four-week run-on, go to Step 5.

Step 5

Will the change increase the maximum working tax credit award before any income reduction is applied?

If the change will increase the maximum working tax credit award and you’ve been notified today, go to Step 7.

If the change will increase the maximum working tax credit award and you were notified before today, go to Step 8.

If the change will not increase the maximum working tax credit award, go to Step 6.

Step 6

On the ‘Work Details’ screen

  • select ‘History’ on the toolbar menu
  • select ‘Hours Worked’ from the options available. You’ll be taken to the ‘History’ screen
  • select ‘New’. You’ll be taken to the ‘New’ screen

Note: As the change occurred more than one month before today’s date, the ‘Include From Date’ field will automatically populate with a date one month before today’s date.

  • enter the start date of the new hours in the ‘Start Date’ field. This will be the day after the date you ended the old hours
  • select ‘OK’ when the message ‘1 months restriction applied to Include from date. Check if correct’ appears
  • note the existing date in the ‘Include From Date’ field
  • delete the existing ‘Include From Date’
  • enter the date shown in the ‘Start Date’ field in the ‘Include From Date’ field
  • enter the total number of hours, for the remaining jobs, in the ‘Hours’ field
  • select ‘OK’
  • select ‘OK’ when the message ‘You must enter a CY income’ displays
  • select ‘OK’. You’ll be taken to the ‘Work Details’ screen
  • return to the guidance you were previously following.

Step 7

On the ‘Work Details’ screen

  • select ‘History’ on the toolbar menu
  • select ‘Hours Worked’ from the options. You’ll be taken to the ‘History’ screen
  • select ‘New’. You’ll be taken to the ‘New’ screen

Note: As the change occurred more than one month before today’s date, the ‘Include From Date’ field will automatically be displayed with a date one month before today’s date.

  • enter the start date of the new hours in the ‘Start Date’ field. This will be the day after the date you ended the old hours
  • select ‘Ok’ when the message ‘1 months restriction applied to Include from date. Check if correct’ appears
  • note the existing ‘Include From Date’
  • delete the existing ‘Include From Date’
  • enter the new start date in the ‘Include From Date’ field
  • enter the end date, in the ‘End Date’ field, as the day prior to the ‘Include From Date’ previously noted
  • enter the number of hours the customer was working prior to their hours changing, in the ‘Hours’ field
  • select ‘OK’
  • select ‘OK’ again when the following message is displayed ‘You must enter a CY income’

Note: You must then record the new hours, only backdating the award to the one-month limit.

  • select ‘New’
  • enter the include date you noted earlier in the ‘Start Date’ field

Note: The ‘Include From Date’ will automatically be displayed with a date one month before today’s date - the same date as the start date entered.

  • enter the new total hours in the ‘Hours’ field
  • select ‘OK’
  • select ‘OK’ when the following message is displayed ‘You must enter a CY income’
  • select ‘OK’. You’ll be taken to the ‘Work Details’ screen
  • return to the guidance you were previously following.

Step 8

On the Work Details screen

  • select ‘History’ on the toolbar menu
  • select ‘Hours Worked’ from the options available. You’ll be taken to the ‘History’ screen
  • select ‘New’. You’ll be taken to the ‘New’ screen

Note: As the change occurred more than one month before today’s date, the ‘Include From Date’ field will automatically be displayed with a date one month before today’s date.

  • enter the start date of the new hours in the ‘Start Date’ field. This will be the day after the date you ended the old hours
  • select ‘Ok’ when the message ‘1 months restriction applied to Include from date. Check if correct’ appears
  • delete the existing ‘Include From Date’
  • calculate the date one month before the date the customer notified TCO and make a note of this new calculated include from date
  • enter the start date in the ‘Include From Date’ field
  • enter the end date, in the ‘End Date’ field, as the day before the new calculated ‘Include From Date’ previously noted
  • enter the number of hours the customer was working prior to change in the ‘Hours’ field
  • select ‘OK’
  • select ‘OK’ when the message ‘You must enter a CY income’ is displayed

Note: You must then record the new hours. Remember to only backdate the award to the one-month limit.

  • select ‘New’
  • enter the start date to be the same as the new calculated include from date previously noted
  • delete the ‘Include from date’
  • enter the new calculated include from date in the ‘Include From Date’ field
  • enter the total new hours
  • select ‘Ok’
  • select ‘OK’ when the following message is displayed ‘You must enter a CY income’
  • select ‘OK’. You’ll be taken to the ‘Work Details’ screen
  • return to the guidance you were previously following.

Step 9

Note: The change will be backdated to the actual date of the change as the customer notified TCO within one month of the change.

On the Work Details screen

  • select ‘History’ on the toolbar menu
  • select ‘Hours Worked’ from the options available. You’ll be taken to the ‘History’ screen
  • select ‘New’
  • enter the actual hours start date of the new hours in the ‘Start Date’ field

Note: The include from date will automatically populate with the start date of the new hours.

  • enter the total new hours
  • select ‘Ok’
  • select ‘OK’ when the following message is displayed ‘You must enter a CY income’
  • select ‘Ok’. You’ll be taken to the ‘Work Details’ screen
  • return to the guidance you were previously following.
