SAM131041 - Statements: statement issue: w040 inhibited statements work list (Action Guide)

When reviewing entries on the ‘Inhibited Statements’ Work List consider steps 1 - 9 below. The Guide is presented as follows

Check entries on the work list - Steps 3 - 6
Review Banking Operations inhibition - Steps 7 - 9

Initial action

1. In function WORK LIST CASES

  • Select the entry you want to work
  • Select the [OK] button. You will be taken to function VIEW STATEMENT. From there you can access functions including MAINTAIN SA NOTES to view a Banking Operations office Action Note

2. Refer to your Statement Control Register and check that the case you are viewing is on the Register

Check entries on the work list

3. If you are viewing a statement inhibition which is on your Register and statements should continue to be inhibited, take no action

Note: If the ‘BY’ signal is set on the record, you can accept that the inhibition remains valid and no further action is required

4. If the item you are viewing is on your Register and statements should no longer be inhibited

  • Arrange for an operator with the user role of Clerical Processing Officer or Clerical Caseworker to use function INHIBIT STATEMENT to change the Statement inhibited signal to ‘N’, the work item will be deleted automatically from the work list

5. If the item you are viewing is not on your Register and a check of SA Notes reveals that Banking Operations has inhibited statements, take the action in steps 7 to 9 below

6. In all other cases investigate the reason why a Statement inhibited signal has been or was set

Review Banking Operations inhibition

Note: If the ‘BY’ signal is set on the record, you can accept that the inhibition remainsvalid unless the year shown in the Last SA Return Required field on the Signals screen is over 3 years old and there is no outstanding liability, or unallocated credits, on the statement. For example, at 6 May 2011, the Last SA Return Required field shows ‘09’ or earlier

7. Carry out the normal security checks and if necessary liaise with the SCO in Banking Operations to ensure the inhibition was authorised

8. Where the Banking Operations statement inhibition has been set for 3 months or more, contact the Banking Operations SCO and confirm that the statements are to remain inhibited

9. Once you are satisfied with a Banking Operations set inhibition, take the action described in step 3, or 4 above
