This memo is for Work Choice providers with supported businesses. It was issued on 6 November 2018.

1. Information

The Department for Work and Pensions (DWP) will shortly be conducting additional checks on the protected places payments issued to Work Choice prime contractors for supported businesses. These checks are to give assurance to the DWP that payments made are in accordance with the DWP and HM Treasury requirements.

2. Action

In preparation for these checks, you are requested to supply a list of PO numbers together with up-to-date contact details, including an active phone number (or most recent, in the case of former participants), for all Work Choice participants who have occupied a protected place since 1st October 2017.

3. Current protected place occupants

In order to supply this information, and for your convenience, you may customise your most recent monthly protected place claim return (which already contains PO numbers), adding in an additional column for the contact information.

It would also be helpful if you could note any health issues that may cause a barrier to the participant being contacted, for example a hearing impairment, and/or note if the participant has specified a preference for the means of contacting them, due to their disability. Where participants require their representative to be contacted (instead or as well), these details should also be included, including their relationship to the participant.

This information must be provided by PGP secure email to the Disability Employment Provision policy team via elvira.martin-de-la-vega@dwp.gsi.gov.uk and not to the usual policy team email inbox.

Please ensure we receive this information, in respect of current protected place occupants, by 16 November 2018 at the latest.

4. Former protected place occupants

We also intend to extend these checks to former Work Choice participants who have occupied a Protected Place in the period since October 2017 up to the present, but have now left.

Again, and for your convenience, please utilise your Protected Place claim returns – which commenced in September 2017 – to compile a list of those participants who have now left your programme but occupied a Protected Place at any time between October 2017 and their programme exit date.

In recognition that you will be obliged to check through your records of former occupants, this information may be provided by the later date of 16 December 2018.

Again, this information must be provided by PGP secure email to the Disability Employment Provision policy team via elvira.martin-de-la-vega@dwp.gsi.gov.uk and not to the usual policy team email inbox.

5. Further information and contact details

You are reminded that, at all times, you must remain compliant with Data Protection legislation.

As these forms will contain participants’ personal information, they must be emailed to the Disability Employment Provision policy team using PGP encryption.

Failure to use PGP encryption will result in a security incident being created as per DWP providers’ generic guidance chapter 8 (information security). Please refer to this chapter for further information.
