View your education data (VYED): access guide

Overview
You can use this access guide to understand how to:
- request access to view your education data (VYED)
- grant access to services within VYED if you are an approver
Before you start
You’ll need a DfE Sign-in account to access VYED.
The first thing you’ll have to do after creating a DfE Sign-in account is request access to your organisation. You must do this before you can request access to VYED and its sub-services.
Creating a DfE Sign-in account will allow you to access various online educational services for the organisations with which you are associated. You will not need any approvals to create a DfE Sign-in account.
How to get approval
Once you have logged in to your DfE Sign-in account, new users will have to request approval to access VYED within your account. Once you’ve sent your request, your organisation’s approver will get an email.
An approver is someone at your organisation who manages access to DfE Sign-in and its services. This is usually a headteacher, manager or administrator.
You can find a list of approvers under ‘Organisations’ on the navigation bar at the top of the screen.

Check if you already have access to VYED
You may already have access to VYED so follow these steps to check:
- sign in to your DfE Sign-in account
- select ‘Services’ from the navigation bar
- look for ‘View your education data (VYED)’ in the list of services
- if VYED is not listed, follow the steps to request access
If you’re registered with multiple organisations, you will need to request access to VYED for each one. You can check which organisations use VYED by clicking on ‘Associated organsiations’ next to ‘VYED’ in the list of services on DfE Sign-in.
Request access to VYED for the first time
If you’ve checked and you cannot see VYED in your account you should follow these steps to request access:
- sign in to your DfE Sign-in account
- select ‘Services’ from the navigation bar
- under ‘Related actions’, select ‘Add services to my account’
- select your organisation if prompted and click ‘Continue’
- select ‘View your education data (VYED)’ and any required sub-services
- review your answers and click ‘Add service’
If you’re registered with multiple organisations, repeat these steps for each one. The list of sub-services will differ depending on the type of organisation.

Request access to a new organisation
To request access to a new organisation:
- sign in to your DfE Sign-in account
- select ‘Organisations’ from the navigation bar
- under ‘Related actions’ select ‘Request access to an organisation’
- search for your organisation using the search bar
- select your organisation
- review the organisation details, provide a reason for your request and click ‘Confirm’

After you request access to an organisation or VYED
We’ll send an email to your organisation’s approver once you request access.
You’ll get an email once they approve the request. This means you now have access.
You can check the status of your request in the ‘Requests’ section of your DfE Sign-in account.
How to contact your approver
If you would like to contact your approver you should:
- sign in to your DfE Sign-in account
- select ‘Organisations’ from the navigation bar
- select your organisation from the list
- select ‘Show approvers’
If an approver in your list has left your organisation, you can contact us via the Customer Help Portal.
If no approvers are listed, the DfE Sign-in team will verify your request. This can take up to 5 working days. In this case, you will automatically become the first approver. The initial approver can assign approver status to other users.
Approvers guide
Approvers can follow these key steps to give approvals to VYED.
Approvers will receive VYED access requests via the email associated with their DfE Sign-in account.
You need to add the service View Your Education Data and the role Management Information to each user’s account.
Requesting access to VYED
- sign in to your DfE Sign-in account
- select ‘Services’ from the navigation bar
- under ‘Related actions’, select ‘Add services to my account’
- choose your organisation if prompted and click ‘Continue’
- select ‘View your education data (VYED)’ and any required sub-services
- review your answers and click ‘Add service’
- approving access requests to your organisation and services
Approving a request
When a user requests access to your organisation and a service, an approver needs to approve the request. To do this:
- sign in to your DfE Sign-in account
- select ‘Requests’ from the navigation bar
- select the request you want to review
- check the details of the request
- to approve the request, select ‘Approve’
- the user will get an email confirming the request approval
Alternatively, you will receive an email with a link taking you directly to the request.
Inviting other users to your organisation
Instead of requiring users to request access, an approver may invite others to their organisation. This may be useful when onboarding multiple staff to a new sub-service as this combines all the steps into one action per user. To do this:
- sign in to your DfE Sign-in account
- select ‘Manage users’ from the navigation bar
- under ‘Related actions’, select ‘Invite new user’
- enter the user’s first name, last name and email address then click ‘Continue’
- choose the role that you want the user to have and click ‘Continue’
- select ‘View your education data (VYED) and click ‘Continue’
- select the sub-services the user needs and click ‘Continue’

Granting approver status to other users
To grant approver status you need to:
- sign in to your DfE Sign-in account
- select ‘Manage users’ from the navigation bar
- select the user you would like to make an approver
- select ‘Make approver’
