Privacy notice for Grants Management Function recipient registration

1. Your data

We will process the following personal data of organisation representatives:

  • name
  • email
  • telephone
  • job title

1.1 Purpose

The purpose for which we are processing your personal data is to gather information about current or past recipients of direct bid grants awarded by the European Commission. This includes:

  • allowing the responsible department to identify their UK recipient base
  • allowing the responsible department to engage with their UK recipient base as and when required
  • allowing the Grants Management Function in the Cabinet Office to monitor / assess information that is provided by UK recipients
  • matching grant agreement(s), where applicable, to the respective pro-forma that the UK recipient has provided

The legal basis for processing your personal data is it is necessary for the performance of a task carried out in the public interest, or in the exercise of official authority vested in the data controller. In this case, that is ensuring that the Chancellor’s Guarantee, that all direct bid funds that meet the necessary criteria have their funding guaranteed after Brexit, is met.

1.3 Recipients

Your personal data will be shared by us with the relevant department that administers the grant or grants that you are or have been awarded.

As your personal data will be stored on our IT infrastructure, it will also be shared with our data processors who provide email, and document management and storage services.

1.4 Retention

Your personal data will be kept by us until it is passed to the relevant department, which should be on at least a monthly basis, but may be more frequent.

1.5 Where personal data have not been obtained from you

Your personal data were obtained by us from your employer.

2. Your rights

You have the right:

  • to object to the processing of your personal data
  • to request information about how your personal data are processed, and to request a copy of that personal data
  • to request that any inaccuracies in your personal data are rectified without delay
  • to request that any incomplete personal data are completed, including by means of a supplementary statement
  • to request that your personal data are erased if there is no longer a justification for them to be processed
  • in certain circumstances (for example, where accuracy is contested), to request that the processing of your personal data is restricted
  • to object to the processing of your personal data where it is processed for direct marketing purposes

3. International transfers

As your personal data is stored on our IT infrastructure, and shared with our data processors, it may be transferred and stored securely outside the European Union. Where that is the case, it will be subject to equivalent legal protection through the use of Model Contract Clauses.

4. Complaints

If you consider that your personal data has been misused or mishandled, you may make a complaint to the Information Commissioner, who is an independent regulator. The Information Commissioner can be contacted at:
