Evidence Presentation System Guide

Updated 21 April 2021

Applies to England and Wales

Introduction

New cabled and wireless HDMI connections are being rolled out to courtrooms across the country. These connections will allow users to present evidence to the courtroom monitors using the new Evidence Presentation System (EPS), which is replacing ClickShare.

In most courtrooms the wired connection will be on the prosecutors’ bench with wireless connection available on the defence bench.

The wireless connection can be moved to another location in the courtroom if required. In some courtrooms, for technical reasons, there will be 2 wireless connections instead of one wired and one wireless. Both connections offer the same image quality and are suitable for Apple and Windows laptops.

How to connect your laptop

Using the appropriate adaptor, plug the HDMI cable into your Apple or Windows laptop.

There are adapters securely attached to the HDMI cable that will allow connection to Apple or Windows laptops.

These adaptors offer the following connections for Windows and Apple machines:

  • HDMI
  • mini HDMI
  • display port
  • mini display port
  • USB type-C (and Thunderbolt 3)

How to present evidence - Windows 10 laptop

It is recommended that you select ‘duplicate screen’ so that what is shown on the laptop screen is mirrored on the courtroom screens.

  1. Connect the laptop using the HDMI
  2. Open the evidence you wish to share on your desktop
  3. Select the Windows logo key + P to access the Project menu
  4. To start presenting, select ‘duplicate’
  5. To stop presenting select ‘PC screen only’

How to present evidence - Apple Mac

It is recommended that you select ‘mirror displays’ so that what is shown on the laptop screen is mirrored on the courtroom screens.

  1. Connect the laptop using the HDMI
  2. Configure the displays if required (see below)
  3. Open the evidence you want to share on your desktop
  4. To start presenting, select command (cmd) + F1 to toggle on Mirror Displays mode
  5. To stop presenting, select command (cmd) + F1 to toggle off Mirror Displays mode (change to Extended Displays)

How to configure displays

When command (cmd) + F1 is used to toggle off Mirror Displays mode, the Mac operates in Extended Displays mode and a secondary desktop is displayed on the courtroom screens.

The secondary desktop should be empty, allowing the user to continue to work in private on their laptop screen.

However, any wallpaper set on the secondary desktop will still be displayed to the court. It is therefore recommended that a dark neutral wallpaper (background) is set for the secondary desktop:

  1. Connect the laptop using the HDMI
  2. Select command (cmd) + F1 to toggle off Mirror Displays mode and change to Extended Displays
  3. Choose Apple menu > System Preferences, then select Desktop and Screen Saver
  4. Windows will appear on both the laptop screen (main desktop) and courtroom screens (secondary desktop)
  5. Move cursor to courtroom screens (secondary desktop) and choose a plain dark colour for the background
  6. Move cursor back to the laptop screen (main desktop) and close System Preferences
