1. Who should read

Direct Bids, Co-Financing Organisations, the Greater London Authority

2. Purpose

To remind of Clause 5.4 (b) of the Funding Agreement (FA) which requires claims to be submitted within 25 working days following the end of the Instalment Period for which the Grant Claim is made.

The Managing Authority will exercise its right to invoke Clause 11.3 if the Grant Recipient fails to submit timely claims.

11.3 Where, the Secretary of State determines that an Event of Default or a Material Breach has or may have occurred, the Secretary of State may by written notice to the Grant Recipient (GR) take any one or more of the following actions:

(a) suspend the payment of Grant for such period as the Secretary of State shall determine; and or

(b) reduce the Maximum Sum in which case the payment of Grant shall thereafter be made in accordance with the reduction and notified to the Grant Recipient; and or

(c) cease to make payments of Grant to the Grant Recipient under this Funding Agreement and (in addition) require the Grant Recipient to repay to the Secretary of State the whole or any part of the amount of Grant previously paid to the Grant Recipient; and or

(d) terminate this Funding Agreement

The Claim Instalment Periods are:

  • quarter 1 is from 1 January to 31 March
  • quarter 2 is from 1 April to 30 June
  • quarter 3 is from 1 July to 30 September
  • quarter 4 is from 1 October to 31 December

In exceptional circumstances agreed by the Managing Authority an extension may be approved. GRs should contact their CM as soon as they become aware of issues.

To ensure all claims are made within the agreed claim timescales for each project.
