How we treat your personal information and how to check what details we hold about you at Ofsted.

The processing of personal data is governed by the Data Protection Act and other relevant legislation.

This charter sets out what you can expect from us when we ask for, or hold, your personal information. It also covers what we ask from you to help us keep your information up to date.

Your privacy

Ofsted is likely to hold information about you if any of the following apply:

  • you’re registered as a provider of childcare or children’s social care
  • you’ve provided information about yourself when writing to us
  • we’ve gathered information about you during our inspection and regulation work

We follow the law as set out in the Data Protection Act 1998 when handling your personal information. We promise to:

  • make sure you know why we need it
  • only ask for what we need, and not to collect too much or irrelevant information
  • protect it and make sure nobody has access to it who shouldn’t
  • let you know if we share it with other organisations to give you better public services
  • make sure we don’t keep it longer than necessary
  • not make your personal information available for commercial use without your permission

To help us to keep your information reliable and up to date, please:

  • provide us with accurate information
  • tell us as soon as possible if there are any changes, such as a new address

If you feel that Ofsted has not kept its promises to you about the way we handle your personal information, we ask that you write to the following address. We will investigate your concerns and report back to you within 20 working days:

Ask for a copy of the information we hold about you

If you’d like to request a copy of the information we hold on you, please write to us or email us at the contact given below. We’ll reply with instructions. You can also request details on:

  • agreements we have with other organisations for sharing information
  • circumstances where we can pass on your personal information without telling you (for example, to prevent and detect crime or to produce anonymised statistics)
  • our instructions to staff on how to collect, use and delete personal information
  • how we check the information we hold is accurate and up to date
