P11D processing: management of workflow management tool: dispatching the batch (Action Guide)

When logged batches are ready to send to the RCU, the home office manager needs to update the Batch Manager screen with the dispatch date. To do this follow steps 1 - 4 below.

| 1. | From the Batch Manager screen you must | || |   | * Select the [Filter] button. You will be presented with the Filter Batches screen | |   | * Select the ‘Status’ drop down to filter on status ‘Logged’ | |   | * Select the [OK] button. You will be returned to the Batch Manager screen with all the batches with a status ‘Logged’ displayed | |   | * Select a batch from the display. Multiple selections can be made | |   | * Select the [Dispatch] button. The Dispatch Batch screen will be displayed | |   | Note: The RCU displayed will be the Receiving Office recorded when the batch was created. | | 2. | If the RCU is incorrect | |   | * Select the [Select] button. The Select RCU screen will be displayed | |   | * Highlight the correct RCU | |   | * Select the [OK] button. You will return to the Dispatch Batch Screen with the Receiving Office field populated | |   | * Select the [OK] button. This will change the batch status to ‘Dispatched’ | | 3. | As multiple rows can be selected, when the [Dispatch] button is pressed, if the rows selected contain batches for different destination RCUs, the warning message ‘Selection contains batches with different Receiving Offices’ will be displayed | |   | * Select the [OK] button. You will be returned to the Dispatch Batch Screen and the RCU field will be blank | |   | * Enter the Receiving Office numeral if known
 
Or | |   | * Select the [Select] button | |   | * Choose from the list and select the [OK] button. You will be returned to the Dispatch screen | |   | * Select the [OK] button | | 4. | The batches are then dispatched. New Dispatch Cover Sheets are printed for all batches where the receiving RCU has changed since the batch was originally logged. A message is displayed showing how many have been reprinted | |   | Note: If the Batch Manager screen has been filtered on ‘Logged’ and all the batches have been dispatched, the following warning message will be displayed | |   | ‘No Batches to be displayed [OK]’ | |   | * Select the [OK] button. You will be returned to the Batch Manager screen, which will be blank for a further filter or ‘No Filter’, to display batches | |   | Note: The [Priority] Button is not available in the home office as it is only used when the forms P11D are captured. |
