COM120032 - Repayments / reallocations: overpayments: general: inhibit automatic process - responsible office (Action Guide)

Consider steps 1 - 15 below when setting or unsetting signals in the responsible office to inhibit automatic:

  • repayment
  • reallocation and repayment
  • small repayments
  • repayment of company specified amounts.

Remember you should always use function NOTE (Case Notes) to enter the reason for setting any of the inhibit signals.

To view signals set to prevent automatic reallocations and repayments {#IDAP5M4B}

1. If you want to see whether any signals have been set to prevent automatic reallocations or repayments use function DAPD (Display AP Details).

To view the ‘inhibit repayment amount specified by company’ signal

2. If you want to see whether the signal to prevent automatic repayments of an amount specified by the company has been set, use the button in function DAPD (Display AP Details).

To set the signal to inhibit automatic repayment

3. If you want to inhibit automatic repayments for a specific AP, use function MAPS (Maintain AP Signals) and select ‘repayments only’ from the drop down menu in the ‘manual inhibitions’ field.

4. If you want to inhibit automatic repayments for all the company’s APs, use function MRSC (Maintain Repay / Realloc Signals (Company)) and select ‘repayments only’ in the ‘inhibitions’ field.

5. Use function NOTE (Case Notes) to say why you have set the inhibit signal.

To set the signal to inhibit automatic reallocation and repayment

6. If you want to inhibit automatic reallocations and repayments for a particular AP, use function MAPS and select ‘reallocations & repayments’ in the ‘manual inhibitions’ field.

7. If you want to inhibit automatic reallocations and repayments for all the company’s APs, use function MRSC and select ‘reallocations & repayments’ in the ‘inhibitions’ field.

8. Use function NOTE to say why you have set the inhibit signal.

To change the amount of the ‘inhibit repayment amount specified by company’ signal

9. If you want to change the amount of the inhibit repayment amount specified by the company, use function MRSC and enter the amount in the ‘inhibit repayment amount specified by company’ field.

To unset the signal to inhibit automatic repayment

10. If you want to unset this signal to prevent the inhibition of automatic repayments for a particular AP, use function MAPS and select ‘none’ from the drop down menu in the ‘inhibitions’ field.

11. If you want to unset the signal to prevent the inhibition of automatic repayments for all the company’s APs, use function MRSC and select ‘none’ from the drop down menu in the ‘inhibitions’ field.

  • If you did not set either of these signals, check COTAX notes before you change the value to ‘none’.

  • You cannot change the inhibition from multiple returns (Word 33KB) to ‘none’, only to ‘inhibit reallocations & repayments’ or ‘repayments only.

To unset the signal to inhibit automatic reallocation and repayment

12. If you want to unset the signal to prevent the inhibition of automatic reallocation and repayments for a particular AP, use function MAPS and select ‘none’ from the drop down menu in the ‘manual inhibitions’ field.

13. If you want to unset the signal to prevent the inhibition of automatic reallocations and repayments for all company’s APs, use function MRSC and select ‘none’ from the drop down menu in the ‘inhibitions’ field

  • If you did not set either of these signals, check COTAX notes before you change the value to ‘none’.

  • You cannot change the inhibition from ‘multiple returns’ to ‘none’, only to ‘inhibit reallocations & repayments’ or ‘repayments only’.

To unset the ‘multiple returns’ signal

14. If you want to unset the ‘multiple returns’ signal:

  • use function MRSC (Maintain Repay / Realloc Signals (Company)) and select either ‘reallocations & repayments’ or ‘repayments only’ depending on the liabilities existing for other APs and the action you wish to take in the case or

  • use function DIRR (Direct Repayment) if you want the overpayment to be issued before the 14 days inhibition period finishes.

You cannot change the signal from ‘multiple returns’ to ‘none’.

To unset the ‘cancelled repayment inhibit’ signal

15. If, exceptionally, you want to unset the ‘cancelled repayment inhibit’ signal, use function MAPS (Maintain AP Signals) and select ‘N’ from the drop down box in the ‘cancelled repayment inhibit’ field.
