Claiming the grant

These forms are for installers to claim the Workplace Charging Scheme for educational institutions.

To claim the grant you need to:

Installer claim form

Enter all the details of your installation on this form. The Office for Zero Emissions Vehicles (OZEV) will use it to check that the institution and installation meet the requirements of the WCS.

Your customer will need to complete Section 4 of this form before you return it to us.

You will need to submit one application form for each institution.

Grant claim form

This form covers the costs and amount of grant you are claiming.

You will need to submit one grant claim for each institution.

Evidence

For each claim, you will need to submit the following evidence with the claim forms:

  • invoice with grant deducted

  • subcontractor name and installer number (if used)

  • plan of the site showing the supply point, and any charging infrastructure installed including chargepoints, cable routes, and distribution boards

You also need to submit photos of each chargepoint installed - clear enough to verify:

  • the model installed and its serial number

  • the chargepoint’s location, including the off-road parking space(s) it serves

You must also submit:

  • a photo with a wide field of view showing all the chargepoints installed - more than 1 image can be submitted to illustrate the total installation if necessary

  • a photo of the education institution building  relative to the car park with the chargepoints

Audit

By claiming a grant you agree to facilitate and assist in audits as set out.

OZEV will select some installations to be audited. OZEV, or a third-party organisation, will check grant data, statements and records held by you and your customer.

There may be an on-site visit that will require access to the charge point(s) and any equipment that supports their operation. Grant applicants and installers / installer representatives must permit OZEV, or a third party OZEV appoints, to inspect the site, and must supply any information or documents requested in relation to the installation, grant application and claim.

Audits may take place before or after a claim is paid. Grant applicants and installers / installer representatives must provide the information requested or facilitate a site visit. If this is not provided, we may withhold or reclaim payment of the grant and any other claims that have been submitted for any grant.
