CISR84660 - Compliance: Download CISR data to an Excel spreadsheet

This Action Guide outlines how to download CISR data to an Excel spreadsheet. This is a new facility available from 6 April 2009 and should be read in conjunction with the information panel at CISR84040. Data can be downloaded from any function where CIS data for a contractor or subcontractor is held that can span several pages. The windows in CISR involved are

  • Payments to subcontractor
  • Verifications
  • Return Periods (displaying all the monthly returns received)
  • Return Details (displaying the payments made to subcontractors on a particular monthly return)
  • Scheme Verifications
  • Penalties.

Note; you should not however use the download function for cases where there is less than 25 separate lines of information, instead you should use the ‘copy’ and ‘paste’ facility to transfer the information to an Excel spreadsheet.

When you are viewing data spanning several pages which you wish to download to an Excel spreadsheet, you will notice that beneath the data there are two buttons - a [download] button that will be ‘live’, and a [cancel download] which is ‘greyed out’. To commence a download of the data

  • select [Download].

A window will now display entitled ‘Disclaimer’, and will include the following wording, “I am aware that use of this function will send items of data to Microsoft Excel and am fully aware of my responsibility to keep this data secure”. To proceed with the download

  • select the box to the right of the disclaimer.

An audit trail will now be created of which download function was accessed, your PID, the date and time of access, and headings on the details being downloaded. When the audit record has been created, the download of the data will then commence. At any time during the download, until it is complete, you may cancel the download by

  • selecting the [Cancel Download] button which will now be ‘live’.

During the download, a pop-up dialogue box will be displayed indicating how many of the total records have been retrieved so far, and this will refresh every ten seconds. Once the download is completed, a download dialogue box will be displayed with the following options

  • Open
  • Save
  • Cancel.

Selecting the ‘open’ option will open the spreadsheet directly into Excel. From Excel you will have the usual options to save the spreadsheet.

Selecting the ‘save’ option will allow you to choose a location in which to save the file, you will also have the opportunity to rename the file from the name automatically generated during the download.
