DMB General Notification

This guidance is for sending an ‘E37’ to notify of an overpayment or a ‘DMB General Notification’ for a customer’s change in circumstance to the Debt Management and Banking team (DMB).

DMB need to be notified of a change that will affect the recovery of the award, such as:

  • entitlement has ended
  • entitlement is ending from a future date
  • the amount withheld/deducted for recovery will no longer be available
  • customer changes their surname

Note: The ‘CDMS Oprec’ application does not allow receipt of a duplicate ‘E37’ form. A ‘DMB General Notification’ should be sent if any changes are required to the original E37.

Guidance

  • use ‘CDMS Oprec’
  • select ‘File’
  • select ‘Add E37/EC37’
  • input user details in ‘Submitter Details’ field. Do not select the ‘this is an EC37 case’ box. For EC cases use ‘E37EC’ found in the overall Child Benefit guidance.
  • input customer and child details in the relevant fields. ‘Receiving CHB’ must be filled in.
  • input overpayment details in the ‘OP Details’ fields. ‘AR Code / Cause’, ‘No Of Weeks to BF For’, ‘Voluntary Offer’, ‘Guardians Allowance’, BF ‘Code’ and ‘Child’s name’ must be filled in.

    Note: Double check that all of the required information is present and correct. If not, the E37 will be rejected.

  • select ‘Create Note For OPREC’
  • select ‘Save New Record’

    Note: If an amendment to an E37 that was submitted already, send a ‘DMB General Notification’ form instead.

Before you refer a case to DMB, make sure all enquires and the resulting changes to update the customer’s account are complete.

The DMB General Notification can be accessed by selecting

  • ‘xmls Forms’ from the SEES drop-down menu
  • ‘National’ tab
  • ‘CBO’ folder
  • ‘DMB General Notification’

Note: All requests for copies of E37s or case notes should be made using the DMB General Notification form rather than phoning DMB direct.
