Stakeholder lists: privacy notice

The Department for Energy Security and Net Zero (DESNZ) wants to engage, receive feedback, and keep stakeholders informed of progress regarding future energy policy development. In doing so, DESNZ officials will maintain lists of interested stakeholders. 

This notice sets out how we will process your personal data, and your rights. It is made under Articles 13 and/or 14 of the UK General Data Protection Regulation (UK GDPR).

Your data

We may process the following personal data:

  • name
  • email address
  • organisation
  • job title
  • information about where your energy interest lies, for example, energy efficiency, Net Zero
  • details of meetings / interactions / correspondence between the stakeholder and DESNZ

How we collect your data

Your data may be collected in the following ways:

  • using publicly available information
  • you requested to be added to a stakeholder list
  • you have provided DESNZ with feedback on one of our energy schemes
  • you have contacted us with a query about a particular subject which is of interest to you
  • you have joined a contact list for a specific topic; an event; a regular meeting; or on admission into a group

Purpose

We are processing your personal data to communicate with you for the following purposes:

  • to seek feedback on policy development
  • to communicate policy or announcements relevant to you
  • to invite you to meetings or events
  • to contact you about a training course
  • to arrange a visit

The legal basis for processing your personal data under Article 6 of the UK GDPR is:

1(e)Public task: Processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the Data Controller. The task is to maintain a stakeholder database to enable us to engage and keep stakeholders informed.  

Recipients

Your personal data may be shared with other officials in the department and with our contracted providers who may contact you on our behalf. These third parties are our processors and only operate under our strict instructions.    

As your personal data will be stored on our IT infrastructure it will also be shared with our data processors Microsoft and Amazon Web Services.

Retention

Your personal data will be held in line with the Department’s Retention and Disposal Schedule.  DESNZ will regularly review the business need and proactively update our stakeholder lists and remove personal data of stakeholders who are inactive.  Should you wish to have your details removed you can contact the owner or sender of the correspondence you have received.

International Transfers

Your personal data will be processed in the UK.

Your rights

You have the right to:

  • request information about how your personal data are processed, and to request a copy of that personal data
  • request that any inaccuracies in your personal data are rectified without delay
  • request that any incomplete personal data are completed, including by means of a supplementary statement
  • request that your personal data are erased if there is no longer a justification for them to be processed
  • in certain circumstances (for example, where accuracy is contested) request that the processing of your personal data is restricted
  • object to the processing of your personal data
  • object to the processing of your personal data for marketing purposes

If this privacy notice changes in any way, we will place an updated version on this page. Regularly reviewing this page ensures you are always aware of what information we collect, how we use it, and under what circumstances we will share it with other parties. The ‘last updated’ date at the bottom of this page will also change.
